AI Usage Policy
AI tools (e.g., ChatGPT, GPT-4, Copilot, Gemini, or similar large language models) cannot be listed as authors of a manuscript. Authorship implies accountability and the ability to give consent — criteria that AI systems cannot satisfy. The use of AI tools must be disclosed, but AI tools must not appear in the author list or be credited as contributors in a way that implies authorship.
Authors who use AI or AI-assisted tools in the preparation of their manuscript must disclose this use clearly. This includes:
- Use of AI for writing assistance, grammar correction, paraphrasing, or language editing
- Use of AI for data analysis, code generation, or statistical interpretation
- Use of AI for literature search or summarization
- Use of AI-generated images, figures, or tables
Disclosure must be included in the Methods section or an AI Disclosure Statement placed at the end of the manuscript, before the References. The statement should specify: the name of the AI tool used, the version (if known), and the purpose for which it was used.
Example disclosure: "The authors used ChatGPT (OpenAI, version GPT-4, accessed April 2025) to assist with grammar and language editing of this manuscript. All content was subsequently reviewed and verified by the authors."
The use of AI-generated images or illustrations must be explicitly stated in the figure caption and in the Methods/Materials section. Authors are responsible for ensuring that AI-generated images do not misrepresent data or violate copyright. Fabricated or misleading AI-generated figures constitute research misconduct.
Authors bear full responsibility for the accuracy, integrity, and originality of their submitted manuscripts, regardless of any AI assistance used. AI tools can make errors, hallucinate citations, or generate plausible but incorrect statements. Authors must verify all AI-generated content before inclusion in their manuscript.
The use of AI does not diminish authors' responsibility to ensure that:
- All data, results, and claims are accurate and verifiable
- All citations and references are real and correctly attributed
- The manuscript does not plagiarize existing work
- Ethical approvals and declarations are complete and accurate
Reviewers must not input manuscript content into AI systems, chatbots, or language models. Manuscripts under review are confidential documents. Sharing manuscript content with third-party AI platforms violates the confidentiality obligations of peer review and may expose the authors' unpublished work to unauthorized parties.
Reviewers may use AI tools for general background research or to check grammar in their own review text, provided that no manuscript content is shared with these tools.
Editors must not share manuscript content with AI tools for the purpose of editorial decision-making. Editors may use AI-based plagiarism detection tools (e.g., iThenticate) that are integrated into the journal's workflow, as these are considered standard editorial tools with appropriate data protections.
Failure to disclose AI use where required, or misuse of AI in ways that constitute research misconduct (e.g., fabrication of data, image manipulation), will be treated in accordance with AJIR's Plagiarism and Misconduct Policy and COPE guidelines. This may result in rejection of the manuscript, retraction of published articles, or notification of the authors' institution.
This AI Usage Policy will be reviewed periodically as AI technologies and publishing standards evolve. Authors are advised to check for the most current version before submission. For questions, contact support@asianresassoc.org.
